Why this matters

The EU AI Act and your role
  • The EU AI Act is the EU's first law on artificial intelligence. It sorts AI into risk levels — most tools we use (ChatGPT, Claude, Copilot, Gradio, n8n) are minimal or limited risk: few obligations, but clear responsible-use rules.
  • Article 4 requires every company that uses AI to make sure its employees have basic AI literacy — that you understand how to use AI safely. This training is how Perulatus meets that duty.
  • It applies to all of us — including the Philippines team — because Perulatus is based in the EU and the rules follow the company's use of AI.
  • It works together with data protection (GDPR): personal or health data needs special care and may only go into approved, secured tools.
  • AI only supports your work. A human (you) must always check the results and stay responsible for final decisions — the EU AI Act calls this 'human oversight'.
  • Perulatus is an AI "deployer", not a provider — we use existing tools rather than building our own. That's why we check the right risk level and rules for each tool and each use, and keep them in our AI register.

The AI register is the internal overview of AI systems used at Perulatus. It should be reviewed and updated whenever tools or use cases change.

Your responsibilities

The do's and don'ts of everyday AI use
Do's
  • Use AI only for approved business purposes.
  • Check AI outputs before using or sharing them.
  • Keep human responsibility for final decisions.
  • Use simple, non-sensitive prompts whenever possible.
  • Ask a responsible person or manager if unsure.
  • Follow the internal AI policy (Dienstanweisung).
  • Report unclear or risky use cases.
  • Label AI-generated content (images, videos, texts) as AI-made before publishing (EU AI Act, Art. 50).
Don'ts
  • Don't enter sensitive customer, health or personal data into AI tools unless explicitly approved.
  • Don't rely blindly on AI outputs.
  • Don't use AI-generated content without reviewing it.
  • Don't let AI make final decisions about customers, care, contracts, legal topics or important business matters.
  • Don't upload internal documents unless the tool and use case are approved.
  • Don't use private AI accounts for company work unless explicitly allowed.
  • Don't copy confidential information into public AI tools.

Rules we follow

A practical summary of the internal AI policy
  • AI tools may only be used in line with the internal rules.
  • Sensitive personal data requires special care under the GDPR — use it only in approved, secured tools.
  • Employees must follow the Dienstanweisung (internal AI policy).
  • AI-generated output must be checked before it is used.
  • AI must not be used to make final decisions about customers or legal matters.
  • If unsure, ask the responsible person or your manager.

The internal AI policy (Dienstanweisung) remains the binding internal rule. This training gives a practical overview but does not replace the policy.

Practical examples

What is allowed, what is not, and what to check first
Allowed
Writing a first draft of an internal email without personal data

AI may support drafting general text, but the result must be reviewed before sending.

Not allowed
Uploading a customer letter with health data into a public AI chatbot

Customer, health or other sensitive personal data must not be entered into unapproved AI tools.

Asking AI to summarize a general public article

This can be acceptable if no confidential or personal data is included.

Not allowed
Using AI to decide whether a customer receives a service

AI must not make final decisions about customers. Human review and responsibility are required.

Internal documents may contain confidential information. The tool and use case must be approved first.

Using AI to improve the wording of a general marketing draft

This may be acceptable if no sensitive data is included and the output is reviewed. Follow internal approval rules.
